PeopleSoft North American Payroll

PS Payroll consists of 6 steps.

ü       Setting up Foundation Table

ü       Setting up Employees

ü       Paysheet Creation

ü       Pay Calculation

ü       Pay Confirmation

ü       Creating Reports and Files

To Use PeopleSoft Payroll for North America we need set up the following components in PeopleSoft Human Resources:

Installation Table

SETID Table

Business Unit

Company Table

Location Table

Department Table

Job Code Table

Once installation table is set to have North American Payroll and other settings as shown below, you can start proceeding to the next setup.

Use Effective date of 01/01/2005 for the above tables

Once you set this up, please re-boot your Application Server.

2. Setup SETID:

In Payroll, there are 2 set control values or tables for SETID’s, the company table and paygroup table. The SETID entered on the Company table controls the entry into the Balance ID table. The SETID entered on PayGroup table controls entry into Shift table

3. Setup Business Unit:

The SETID entered on the BU table controls entry into several HR Tables. Of the HR tables keyed by SETID, only the Department, Job code and location table are used by payroll processing. When entering a new BU, the SETID entered on the BU page tell the system which departments and Job codes or locations the business unit will use.

For Exercise purpose GBIBU business unit can be used.

Or Create a new Business Unit: PPTBU, PeopleSoft Payroll Training Business Unit. Keep SHARE as the SETID

4. Setup Company Table:

The Company Table stores information about each company within your organization from the corporate address to GL accounts and Payroll Processing information

Default SETID defaults to the Company Code. This is used in creating Balance ID’s such as Calendar year balances.

Enter the information that is used during Paysheet creation and pay calculation process on the default setting page.

This page establishes many of the default tax details for the company. FICA defaults, Common paymaster, SDI Status, FEIN number and Federal Reserve band id are keyed. FLSA should be enabled here to enable it on the company Paygroup table setup.

5. Setup Location Table:

Location table is used to establish physical locations within an organization such as corporate headquarters, branch offices etc.

For Exercise, create new locations

PPTCO, Corporate Headquarters, NY

PPTOH, OH Sales Operations (with location state in OH)

PPTPA, PA Sales Operations (with location state in PA)

PPTMI, MI Sales Operations (with location state in MI)

 6. Setup Department Table:

Setup Department Table to enter descriptive information about your company’s departments and link each department to a location, manager and GL account number.

For Exercise Purpose, create 5 departments

PPT00 – President, Use Location PPTCO

PPT01 – Information Systems, Location PPTOH

PPT02 – OH Sales region, PPTOH Location

PPT03 – MI Sales Region, PPTMI Location

PPT04 – PA Sales Region, PPTPA Location

The Frequency Table is used to define all pay frequencies.

For exercise purpose, we’ll use W (Weekly) and B (Bi-weekly) frequencies as delivered by PeopleSoft.

The below formula is used by the system to calculate EE’s hourly rate:

Hourly Rate =           (Comp Rate) * (Comp Freq)

                             ----------------------------------

(Std Hours) * (Std Work Period)

Example:

Employee

Comprate

Comp. Frequency

Standard Hours

Standard Weeks

John

100.00

W

40.00

W

Hourly Rate

= (Comprate × Compensation Frequency) / (Standard Hours × Standard Weeks Frequency)

2.50

= (100.00 × 52.00) / (40.00 × 52.00)

7. Setup Job Code Table:

Job Code Table is used to establish the valid jobs within an Organization.

The Default Compensation information is used to default comp rate code and non-base comp rate code for this job. If a rate code is assigned to a job code on the Job Code table, and it is defined as a part of base pay, it will default to the EE’s Compensation on the Job Table.

For Exercise Purpose, Create the following Job codes:

PPT10 – President and CEO

PPT11 – Sales Manager

PPT12 – Product Consultant

PPT13 – Computer Operator

PPT14 – Shift Supervisor

PPT15 – Sales Representative
